Who we are
Holiday Home Swapping (holidayhomeswapping.co.uk) is the data controller for the personal information described here. Contact: info@holidayhomeswapping.co.uk.
What we collect
When you create an account or listing we collect: your name, email address, and optionally your phone number and address; details and photos of your holiday home; and the messages you exchange with other members through the site. We do not collect payment details — the service is free and we never ask for card details.
How we use it, and our lawful basis
We use your information to run the service you've asked for — your account, your listing, and in-site messaging between members (lawful basis: performance of a contract). We also use it to keep the service secure, to deal with complaints and misuse, and to tell existing members about important changes to the service (lawful basis: legitimate interests). We will only send marketing or newsletter emails with your consent, and every one will include an unsubscribe link (lawful basis: consent).
What's public and what isn't
Your listing (title, park, region, description, photos) and your first name only are visible to visitors. Your email address, phone number and address are never shown publicly. Messages are private between you and the member you're talking to; site administrators can access messages where necessary to investigate abuse or keep the service safe.
Where your data is stored
Account, listing and messaging data is stored with our database provider Supabase on servers in Frankfurt, Germany (EU). The website is delivered by Cloudflare's content network. Sign-in emails are sent by our email provider on our instructions. These providers act as our processors under written agreements and, where any transfer outside the UK/EEA occurs, it is protected by recognised safeguards such as the UK IDTA or Standard Contractual Clauses.
Cookies and analytics
We do not use advertising or tracking cookies, so you won't see a cookie banner. Signing in stores a small token in your browser — strictly necessary to keep you signed in — and our visitor statistics use Cloudflare Web Analytics, which is cookie-free and does not identify individuals.
How long we keep it
We keep your information while you have an account. If you ask us to close your account we delete your profile, listings and messages within 30 days, keeping only what we must retain to meet legal obligations (and then no longer than one year).
Your rights
You can ask us at any time to: see the information we hold about you; correct it; delete it; restrict or object to how we use it; or receive a copy in a portable format. Email info@holidayhomeswapping.co.uk and we'll respond within one month. You can also edit your details and delete your own listings directly from your account.
If you're unhappy with how we've handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Changes
If we make significant changes to this policy we'll tell members by email. The current version always lives on this page.
